Practice Management Solutions

Office Management
Our employees are professionals when it comes to the job of medical billing and collections management. They devote a portion of their time each year attending seminars, training sessions and workshops that not only increase their knowledge but also increases our ability to provide outstanding service that stays on top of an ever-changing industry. On average, an MMS employee has been with the company for twelve years and has over fifteen years of industry experience.

As a designated “Business Associate” of our clients under the Healthcare Insurance Portability and Accountability Act (HIPAA), MMS maintains compliance with the applicable provisions of the Administrative Simplification section of the Act.

Client Manager: Each MMS client is assigned a Client Manager to work closely with the operations team who oversee the daily billing operations of the account, adhering to the internal Billing and Compliance manual developed and maintained by MMS in response to the Compliance Program Guidance for Third-Party Medical Billing Companies. (Published December 1, 1998 by the Office of Inspector General of the Department of Health and Human Services)

The Client Manager, while working with the MMS Compliance Officer and other members of the operations team, insures compliance in all areas through quality management, which includes continuous oversight of all work completed by data entry personnel, charge and payment posters, and collection personnel. The Client Manager regularly reviews the details of the account and is directly involved in the account’s end-of-month closing. This process of hands-on management enables the Client Manager to become extremely knowledgeable of the intricacies and nuances of each account they manage, hence being very prepared for monthly client meetings to present reports, discuss issues, and respond to requests and other needs of the client.

Account Manager: We can assign an experienced medical account manager to work with you and your staff on a part-time or full-time basis.  They will plan and organize the workflow in your office and will be available for daily questions on administrative procedures.  Even though we offer this service on a full-time basis, you may only need this manager part-time to get your office either up and running or just to get back on track again.

• MMS provides technical support for your office needs on software and hardware

HR Management & Payroll
We will produce payroll checks, maintain your records, and file all the necessary payroll tax reports as well as coordinate and administrate employee benefit packages.

Physician Billing Services
MMS has developed an efficient and highly effective billing and collections process, which will take the guesswork out of managing your account receivables. Our end-game results will be greater productivity, accurate posting of charges and payments, and a more reliable and improved monthly cash flow.

Utilizing one of the highest quality practice management software solutions, MMS will make our office an extension of your practice. Working with your front office staff, we will manage the billing and collections process from the initial patient encounter through the final collection of every dollar of reimbursement owed. Our Physician Billing Services are designed to increase collections, reduce days in accounts receivable, and minimize compliance risks.
        
Billing:

• Posting of all patient charges, payments, and adjustments
• Submit electronic claims to most commercial carriers
• Generate and mail all paper claims
• Resolve all billing inquiries from patients and insurers
• Track and report costs relating to billing, including postage and correspondence
• Generate end-of-month management reports

Collections:

• Generate and mail patient statements for all open accounts
• Provide follow-up for all "slow payment" patients, insurer denials, claims research and resubmissions
• Generate and mail collection letters and follow-up with past due accounts

Coding:

• Review and advise you on your coding structure to maximize reimbursement
• MMS has an in-house CPC (Certified Professional Coder) on staff    

Financial Management & Reporting
MMS is skilled in handling the fundamental daily accounting needs of most physician practices and can provide you services that include the following:

• Maintain General Ledger
• Produce monthly financial statements, including practice P&L, and individual P&L
• Keep income and expense statements for physician provider
• Process all accounts payables, including patient and insurance refunds that are pre-approved by the physician
• Work with the practice’s CPA to gather and provide all necessary information for year-end tax preparation purposes
• Issue year-end 1099s (if required)
• Maintain bank statement and petty cash account
• All processes can be performed on either the practice’s internal accounting software or MMS’ accounting system
